What the portal needed to solve

The client, a mid-sized logistics firm in Mumbai, was losing new accounts during the first two weeks after signature. Paper forms, repeated data entry, and a handoff between sales and operations meant a client could wait nine days before seeing a single confirmation. The brief was to compress that window and remove the guesswork for both sides.

We started by mapping the existing journey: what a client actually received, where documents stalled, and which steps required a human decision. The portal was designed around three states — pending, active, and renewal — so every stakeholder could see the same status without asking. Instead of a generic dashboard, each screen was built around the documents a client still owed, with clear labels and a single call to action per view.

What changed after launch

The average time from signature to first login dropped from nine days to under forty-eight hours. Clients could upload their KYC documents directly, and the operations team received a notification the moment a file arrived. The renewal state also reduced churn: reminders were sent automatically thirty days before expiry, and the client could re-verify their details in one session rather than resubmitting everything.

Within the first quarter, the portal handled 340 onboardings without a single lost document. The support team reported fewer status-check calls, and the sales team could point new clients to a live preview during the pitch. The project did not require a new tech stack — it reused the company's existing CRM and added a thin front-end layer that the internal team could maintain.
